Users & Licensing
Users
There are three types of users capable of participating in the BPMS processes: Employees, External Users and Guest Users. The Employees and the External Users need individual licenses, either Nominative or Concurrent. The Guest Users do not need individual licenses and their number is unlimited.
- Employee. An Employee User has the broadest scope of performance. He enters the system thru the Employees Portal from where he can start processes, work with process tasks and free tasks and also have access to all resources of the application like families of Documents, Accounts, Items, Projects, Areas, Processes, etc. He may also design Processes if granted permission. The Employees are registered in the Organization Chart of the company which is the tree of the family of employees.
IMPORTANT: The company will indicate which specific Employee Users are allowed to access Special Modules.
- External User. The External User enters the system thru one of the External Portals (designed freely by the enterprise to provide entrances suited to the different classes of external agents). He can initiate processes and be the performer of process tasks although his possibilities are limited in comparison with the Employee User. This type of user is intended for lodging Customers, Suppliers, etc. that have a high degree of interaction with the enterprise.
- Guest User. The Guest User communicates with the enterprise using the WIP, which is acquired by installing the module with the same name. It is accessed thru the AuraPortal PRIVATE button in the AURA Web Site. They can start and execute certain processes, carry out queries, etc. They may also receive Emails with links to forms that direct to prepared processes. The possibilities are restricted compared to External Users and Employees so it is a type of user thought for lodging customers, suppliers and other agents whose relation with the company is not so intense.
Licensing
AuraPortal can be licensed On Premises, SaaS or Cloud Computing. Also, the licensing can be Corporate (covering all company users) or By Users. In this last case, the users of the type Employee as well as the type External User can have, at the same time, Nominative licenses (each user has a permanent and private entrance to the system) and Concurrent licenses (all users enjoy entrance permission while the level of concurrency is not surpassed). All Guest Users have permanent access.
